Privacy Notice

This notice explains what personal data HOWL Pest Control Ltd collects, why we collect it, who we share it with and what rights you have. It applies to this website and to pest control work we carry out for customers.

Who we are (data controller)

HOWL Pest Control Ltd is the data controller for the personal data described in this notice. We are a company registered in England and Wales, company number 17134354. Registered office and trading address: 101 Arundel Ave, Liverpool, L17 2AT, United Kingdom.

We provide pest control services to homes and businesses across North West England.

Personal data we collect

  • Quote enquiry details submitted through the website form: your name, telephone number, email address and property postcode.
  • Property type and the pest problem you select.
  • The free-text description of the problem you write.
  • Your preferred contact method and preferred contact time.
  • The date and time your enquiry was submitted.
  • Whether you have opted in to marketing (optional and unticked by default).
  • Correspondence with us by telephone, email or WhatsApp, including any photographs you choose to send.
  • Photographs our technicians take of pest activity, treatment areas and property conditions where this is needed to assess, carry out or document treatment.
  • Records of work carried out, products used, visit dates, invoices and payments.
  • Basic technical data generated by your browser when you visit this website, such as your IP address and browser type, which is processed by our hosting provider to deliver and secure the site.

What we do not collect

This website does not use analytics tools, advertising or tracking pixels, heatmaps, a customer relationship management system, an online booking system or online payment processing. We do not build profiles about you and we do not sell personal data.

Why we use your data and our lawful basis

Ticking the acknowledgement box on our enquiry form is not itself the lawful basis for processing your enquiry, and it is not marketing consent. It simply confirms you have been told how your information will be used.

  • To respond to your enquiry, discuss the problem and provide a quote — this is processing necessary to take steps at your request before entering into a contract, and where you are enquiring on behalf of a business, our legitimate interests in responding to enquiries about our services.
  • To arrange, carry out and follow up pest control work, and to handle invoicing and payment — performance of our contract with you.
  • To keep records of treatments, products used and site conditions — our legal obligations and our legitimate interests in maintaining safe, professional and defensible records.
  • To deal with complaints, insurance matters or legal claims — our legitimate interests in protecting and defending the business.
  • To send you marketing about our services — your consent, where you have given it. Marketing consent is always optional and separate from your enquiry.

Free-text descriptions and sensitive information

Please do not include sensitive health or medical information in the enquiry form unless it is necessary for us to safely assess or provide the requested service. We do not seek special category data. Where you tell us about a health condition, vulnerability, pregnancy, allergy or similar matter so that we can treat your property safely, we process it because it is necessary for reasons of substantial public interest in health and safety, or with your explicit consent, and we keep it to the minimum needed.

Photographs

Our technicians may take photographs of pest activity, treatment areas, property conditions and other evidence needed to assess, carry out or document treatment. Photographs are stored on authorised company and technician devices and on approved company cloud storage.

Access is restricted to people who need it to do their job. Photographs are deleted when the applicable retention period expires. Please tell the technician if you would prefer a photograph not to be taken of a particular area.

WhatsApp and other messaging

We use WhatsApp Business on a company phone to communicate with customers where that is convenient for you — for example to receive photographs of pest activity or to confirm appointments. If you message us, WhatsApp (Meta) processes that message in accordance with its own privacy terms.

We do not use WhatsApp for advertising. Customer information and photographs are handled on company devices and business accounts only.

Third-party services we rely on

These providers act as our processors, or as separate controllers where they set their own terms (for example Meta for WhatsApp). We only share personal data with our accountant, insurer or professional advisers where that is necessary, and with the authorities where the law requires it.

  • Website hosting and the managed email service used to deliver enquiry notifications from the website form to our inbox.
  • Microsoft 365, which hosts our business email and stores enquiries and customer correspondence.
  • Approved cloud storage used for job records and photographs.
  • Web fonts and images used by this website are served from our own site and from our hosting provider's content delivery network, so your browser does not need to contact a separate font provider.
  • Telephone and WhatsApp Business services used for customer contact.

International transfers

Some of our providers are based outside the UK or store data outside the UK. Where personal data is transferred outside the UK, it is protected by an approved safeguard such as UK adequacy regulations or the International Data Transfer Agreement / UK Addendum to the EU Standard Contractual Clauses. How long we keep it

Records may be kept for longer where that is required or justified by law, tax and accounting rules, insurance requirements, an ongoing dispute, or the establishment, exercise or defence of legal claims. Data held in mailboxes and cloud storage is removed in line with our internal retention process rather than instantly.

  • Enquiries that do not lead to work: our target is to keep these for up to 5 years.
  • Customer and job records, including treatment records, invoices and related photographs: our target is to keep these for up to 5 years.

Marketing

We do not currently send email or SMS marketing, and we do not make cold marketing calls or use purchased marketing lists. If you opt in on our form, your details may be used for marketing in future once the appropriate systems and controls are in place. You can withdraw consent at any time by emailing us, and every future marketing message will include an unsubscribe option.

Security

We take reasonable technical and organisational measures to protect personal data. The website is served over HTTPS, enquiry data is transmitted to our business inbox rather than stored in a public database, and personal details from enquiries are not written to server logs. Access to email, job records and photographs is limited to people who need it, on password-protected company accounts and devices.

Personal data breaches

If a personal data breach occurs, we will investigate it, take steps to contain it, and report it to the Information Commissioner's Office within 72 hours where the breach is likely to result in a risk to people's rights and freedoms. Where the risk is high, we will also tell the people affected without undue delay.

Automated decision-making

We do not use automated decision-making that produces legal or similarly significant effects, and we do not carry out profiling.

Your rights

To exercise any of these rights, email info@howlpestcontrol.co.uk with enough detail for us to identify you and locate your records. We will respond within one month; if the request is complex we may extend this by up to two further months and will tell you if we do. We may need to confirm your identity before we release information.

If you are unhappy with how we have handled your personal data, you can complain to the Information Commissioner's Office at ico.org.uk, by telephone on 0303 123 1113, or in writing to Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF. We would appreciate the chance to resolve it with you first.

  • Ask for a copy of the personal data we hold about you (a subject access request).
  • Ask us to correct data that is inaccurate or incomplete.
  • Ask us to delete data where we no longer have a valid reason to keep it.
  • Object to processing based on our legitimate interests, or ask us to restrict processing.
  • Ask for portability of data you provided to us where processing is based on consent or contract and is carried out by automated means.
  • Withdraw consent at any time where consent is our basis for processing, including marketing consent.
